Position Summary
In this position as IT Contract Administrator, you will work with IT functional leadership team, Procurement, Finance and the 3rd Party to manage contract life cycle. The work will involve following defined processes of procurement, supporting team with system activities, keeping track of contract calendar, support various reporting requirements and improving process continuously. Based in India, you will be part of a Global Team and work with our global stakeholders.
Job Objective
Managing entire contract life cycle supporting IT leadership and 3rd party to achieve desired delivery objectives while continuously striving for higher value, efficiencies and improvements.
Job responsibilities
Lead and manage adhoc projects related to contract search/analysis
Research, plan, organize and support contract negotiations for acquisition of IT Hardware, Software and Services.
Review of medium/low complexity contracts in line with policies and IT functional requirements
Help IT team to develop agreements for the acquisition of Local & International third parties for goods and services required with competitive terms.
Ensure timely approval and execution of contracts working with functional leadership
Create contract records and route contracts for approvals and execution and store contracts as per SOP into contract repository
Liaising with Procurement and Finance teams for document verification or missing information
Own and manage system entries and processes like PR-PO creation, GR and Invoice clearing, payment and payment tracking etc.
Ensure compliance with workflows for contract review, abstraction, approval, execution, and migration Prepare/update contract calendar for contracting activities
Collaboration with third parties for contract renewals
Review and regular update of SOPs from time to time in line with organizational policy updates
Collaboration with internal stakeholders for approvals, audits, reporting, analysis etc.
Drive value, efficiency while ensuring operational integrity.
Coordinate vendor verification, set up activities in systems with relevant teams
Automate system processes and steps for IT procurement activities and reporting
Function as SME for the team and resolve team queries and/or assist team in getting resolutions
Highlight and escalate roadblocks/bottleneck for any processes/requests
Suggest and contribute to process improvement initiatives
Core Competencies, Knowledge, Experience
5 – 10 years of experience in managing IT contracts with any organization.
Good working knowledge of SAP system and procurement processes and activities involved.
Hands-on experience in working with 3rd parties for invoicing, payment tracking etc.
Experienced as procurement expert to manage contract terms, negotiate, managing conflicts and handle communications with vendors while building supplier relationship.
Ability to articulate and resolve timelines for various IT delivery activities, serving as procurement point person and SME.
Ability to learn quickly and apply knowledge effectively. Ability to build credible relationships with peers, clients and 3rd parties, and invested in continuous professional learning.
Highly proactive, self-organized, strong analytical and problem-solving abilities with good written/verbal communications in English.
Ability to work independently and as part of a team.
Knowledge of ITIL, Six Sigma, PMP desired but not mandatory
Work Timing & Location
Office – Pimple Saudagar, Pune, India. Current flexible office presence policy – 4 days/week
Typical Working Hours – 12 noon to 9:30 pm IST.
Travel – subject to relevant scope but usually less than 2 weeks
