Job Description Summary:
The IT Purchasing Assistant position provides purchasing and administrative support to IT managers and staff. This position interacts with all departments and geographies and with individuals at all levels of the company, including executive level management. The position is well suited for individuals with a positive attitude and are looking to learn and grow in other areas of a corporation. It requires being able to work in a fast-paced environment as well as being detail oriented, organized and have a professional demeanor in person, on the phone and in email communications.
Essential Duties and Responsibilities:
Accurately create purchase requests in Oracle for members of the IT team.
Communicate with vendors by phone and email
Place orders with vendor as needed.
Run procurement reports in APEX as needed
Receive purchasing records and accurately record them in database and Confluence.
Monitor available inventory and make recommendations for purchases.
Coordinate and review renewals of existing contracts.
Oversee and download master copies of end-user software on the software share
Communicate and assists end users seeking installation of Application Catalog products.
Recognize and maintain IT asset data not discoverable by automated tools.
Monitor ticket activity in JIRA for asset changes, and records changes in the asset database.
Provide CMDB reports to provide insight to our hardware and software compliance
Identify and escalate configuration and identity issues associated with our IT equipment.
Assist with audits of asset data to ensure that the data is accurate.
Provides information on the status of IT equipment as requested
Required Qualifications:
3 years experience in Procurement, preferably in IT Procurement.
1+ year experience with Oracle iProcure
Experience with JIRA, Confluence and Smartsheets preferred.
Strong organizational, time management, multi-tasking, and prioritization skills
Exceptional attention to detail
Proficient knowledge of Word, PowerPoint and Outlook
Advanced Excel skills – vLookup, Index/Match, etc.
Must be willing and able to learn other application programs
Excellent interpersonal and communication skills (both verbal and written)
Able to handle sensitive, confidential information
Ability to work independently, as well as part of a team, and be pro-active
The ability to exercise sound judgment and discretion. Ensure confidentiality of business data.
