The Role
Thornton Tomasetti is seeking a full-time IT Administrative Specialist. The ideal candidate for the IT Administrative Specialist role will have strong administrative skills with a strong work ethic, superior multi-tasking abilities, ‘can-do’ attitude and great organizational skills.
The position will require someone with a dynamic personality, who is happy to be extremely hands on and well organized in their work. A strong communicator both verbal and written, along with good listening skills. The successful candidate will be adaptable, enjoys learning new processes and systems, along with a can-do approach to tasks. IT experience is not mandatory but certainly useful, as the successful candidate will be communicating and collaborating on a daily basis with the Global IT Team and IT Vendors, dealing with the Administrative side of IT Operations, IT Projects, IT Finance and IT Procurement.
Responsibilities
Maintaining records and data for the group, including system inventories in Service Now and elsewhere
Communicating with our Employees regarding our Global Computer Replacement Programme; communications backwards/forwards, scheduling, software questionnaire, answering questions, shipping, coordinating return of old assets
Administration related to New Hires and Leavers, including recovery of IT Assets, updating Assets in ServiceNOW
Following up on open IT Requests which are waiting to be approved
Supporting purchasing – getting quotes for routine items, creating and tracking purchase orders
Collecting tax forms and banking info from vendors
Routine reporting and communications – e.g., notifying staff about status, arranging shipping, following up on approvals, supporting setup for new hires
Liaison with Finance on administrative matters, such as maintaining asset registers
Handling processing of recurring or routine/pre-approved invoices
Requirements
1 year previous administrative experience in an office environment
Advanced skills Microsoft Word, Excel and Outlook
Excellent written and verbal communication skills
Bachelor’s degree required
Salesforce and/or Deltek experience a plus
Previous IT experience desirable but not essential
