Overview
As the Systems Operations Administrator, you will provide assistance in the forward momentum, utilization, enablement and optimization of the Shift Paradigm Adobe Workfront application as well as other internal tools. From Workfront governance and enhancing system functionality, to aiding users with better reporting and system/process optimization, this position is a critical support role within the organization.
Reporting to the Director, Business Operations, this position requires you to communicate with all levels of employees, learn and maintain current systems, and manage multiple projects simultaneously. We’re looking for a motivated, organized, productive team member who’s eager to dig in and drive tools and processes internally. Our ideal candidate should be structured, disciplined, astute, analytical, driven, and detail-oriented with a bias for accuracy.
Responsibilities
1) Workfront Fusion: Development, maintenance and identification of integrations and automations
a) Actively monitor, troubleshoot and maintain Scenarios in Fusion to ensure data fluidity and integrity.
b) Collaborate with the Systems Operations Manager, Business Operations and delivery teams to identify, configure and enable richer work automations.
c) Streamline the development lifecycle including UAT of Scenarios.
d) Deeply understand the internal integrations, business processes, upstream and downstream effects of data, and the overall architecture of integrated systems.
2) Workfront Governance: Helping drive the Shift Paradigm use and adoption of Workfront
a) Supports the organization on system best practices and utilization alterations to best serve their working group while staying compliant with the governance structure
b) Plays a hands-on role in system implementation for system functionality modules or new/existing group rollouts
c) Actively partners with the Systems Operations Manager to understand the Workfront product roadmap and translate it into how enhancements or system changes can benefit Shift Paradigm
d) Partners with our internal teams on any architecture or support needs for Workfront
3) Workfront System Administration and Management: Supporting the system utilization and stability
a) Provides technical subject matter expertise and business process knowledge to teams while gathering requirements and supporting business analysis
b) Actively completes system builds, configurations and development tasks for system enhancements in both the Workfront and Fusion environments
c) Assists with the evaluation of user feedback submitted via the Service Desk Queue for system changes and enhancements
d) Partners with other members of the Business Operations team to manage troubleshooting and assist in recommending solutions to system or user issues
e) Conducts regular audits on system utilization and data to increase system quality, resolve inconsistencies and correct workflow and/or system integration processes.
4) Workfront Reporting: Creating visibility and understanding of the work and resource utilization
a) Establishes metrics, builds reports and dashboards to aid in user workflow, portfolio/program/projects, channel project types and resource management
b) Performs statistical analysis on gathered data, running queries and makes recommendations
5) Workfront System Training: Provides training and information to the organization to solidify system understanding and further support utilization
a) As a part of new/updated implementations, works with and assists the Change Management team in communication planning and system training across multiple user groups that include various levels of users
b) Crafts training materials – including but not limited to: training presentations, QRGs (Quick Reference Guides), Job Aids and training videos
c) Assisting with new employee onboarding to ensure familiarity with the Workfront system and understanding of role-specific responsibilities within the system
Qualifications/Experience
7+ years of experience in a professional, client-focused environment––must have strong operational, project management and leadership experience
4+ years related professional experience in Workfront system administration, including 2+ years using Fusion (API / Development experience strongly preferred)
2+ year’s experience in project management or equivalent role
Bachelor’s Degree in Business, Information Technology, Marketing––or equivalent experience
Proven experience in leading and managing Workfront administration within a large corporation
Ability to explain complex technical material clearly to users with varying levels of proficiency
General understanding of the marketing and creative workflow processes
Experience in system implementations and enhancements
Strong critical thinking, analytical and problem-solving skills
Strong willingness to learn and grow skills and abilities
Outstanding organizational and time management skills
Excellent verbal and written communication skills, including presenting to various levels within an organization
Demonstrated ability to motivate your co-workers and inspire a one-team approach
