OVERVIEW:
The IT Asset Specialist works within a global technology team and is responsible for the management of software and technology-related hardware cross the organization. The function includes planning, monitoring, and recording software and SaaS licenses and/or hardware assets to ensure compliance with vendor contracts. The individual will assist in forming procurement strategies to optimize technology spend across the organization. The IT Asset Specialist develops and implements procedures and makes recommendations for tracking company assets to oversee quality control throughout their lifecycles. As an interface between the business and IT, the IT Asset Specialist will work closely with regional teams, Finance and Procurement and Legal to ensure software and hardware needs are understood and addressed from a technology and compliance perspective.
OPPORTUNITY HIGHLIGHTS:
Define, own, deliver and continuously improve the IT Asset Management strategy in line with business objectives.
Implement a robust Asset Management process for all IT assets across the business and effectively communicate these.
Track and maintain copies of software licenses, warranties, maintenance agreements, and vendor contracts.
Track and maintain deployment, usage and adoption of assets and align to agreements.
Monitor the accuracy of software and hardware data in the IT Asset Management System, and CMDB and ensure information is up-to-date, accurate, and auditable.
Perform inventories and usage monitoring of all IT assets to keep records up to date.
Lead an active software harvesting program, recovering and redeploying unused licenses.
Ensure missing in action hardware devices are reported, recovered, and reused across the business.
Schedule and execute periodic internal audits of our estate, ensuring compliance with asset entitlement and contracts.
Work closely with the legal, procurement, finance and security teams when introducing new tools into the organization, to ensure safe and compliant use of tools.
Provide intelligence and aid in strategic decision making of new hardware and software acquisitions for the organization.
Manage the procurement and purchasing of company-approved devices and software.
Ensure we are getting the best price in accordance with any pre-agreed contractual rates working with our procurement team.
Help conduct contract negotiation, contract renewals.
Research industry best practices and recommend improvements to the organization’s practices to establish benchmarks for managing IT assets.
Actively track and provide reports to IT stakeholders information about assets necessary to standardize assets, lower total costs and make budgetary decisions.
Strategy and Planning
Establish, refresh or monitor policies and procedures for tracking the state of IT assets, such as software PCs, servers and other devices.
Explore opportunities for maximizing or exploiting unused or partially used IT assets to achieve full efficiency and ROI from company resources.
Develop strategies and external relationships to implement plans safe disposal IT assets.
Participate in evaluation of the asset management process.
Acquisition and Deployment
Conduct and report software asset reconciliation and audit activities on a timely basis, including financial, licensing, warranty, and maintenance/support contract information.
Compare warranties, maintenance agreements, and vendor contracts to assist with asset upkeep, upgrades, repair, and replacement.
Assist IT Procurement in developing and managing sourcing strategies for the organization.
Identify opportunities for volume purchasing to obtain price breaks.
Investigate equipment or software under consideration to determine ROI and total cost of ownership throughout the product lifecycle.
Define purchasing recommendations that support business goals, in collaboration with senior management and stakeholders.
Negotiate pricing, terms and conditions of agreements, and warranties of goods and products with key suppliers and vendors.
Monitor and analyze trends in company spending and inventory control in order to make recommendations for the future, and to identify areas for possible savings and/or asset optimization.
SKILLS & QUALIFICATIONS:
University degree or college diploma in an IT, Information Systems, Accounting, Finance, or business-related discipline.
Formal accreditation in ITIL v3 and/or IT Asset Management.
Other relevant professional IT Certifications (desirable).
Knowledge and Experience
Demonstrable experience in a similar IT role.
Excellent working understanding of information technology and its application to business issues.
Strong analytical track record; Solid working knowledge of data processing and analysis, with advanced level proficiency in Excel. Experience with database management systems, data warehousing, query languages and report generators desirable but not required. Power BI or Tableau skills an advantage.
Understanding of budgets, forecasts, procurement, project management and contract management.
Ability to learn new software and systems quickly.
Understanding of billing and budgeting processes.
Ability to work with minimal supervision.
Experience in the use of ITAM tools such as Snow or Flexera is advantageous.
Experience in managing internal software compliance and vendor audits.
Knowledge of software licensing models, terms and conditions.
Experience in hardware asset management and infrastructure services (from purchasing, inventory, stocking to disposal).

Qualifications:
Previous experience in a similar IT Asset Management/software licensing role.
Experience in developing mature ITAM processes and workflows.
Demonstrable background knowledge within license management and re-harvesting.
Understanding of SaaS products, including SFDC and Microsoft licensing terms and conditions.
Significant experience working across all aspects of the ITAM lifecycle.
Experience in vendor management.
Experience in benchmarking and selection process for Hardware and Software.
Experience in creating a service catalogue for tools and software.
ITIL v3 or ITIL v4 qualifications are desirable.
